Basic Function:

Ensures high-quality, efficient day-to-day operation of the office and supports the work of upper level and executive management.   

Scope:

Performs a variety of administrative and clerical tasks including providing administrative support to Keystone Alliance staff and managing Keystone’s general administrative activities.

  

Job Duties:

  • Provides direct administrative and clerical support and assistance to upper level and executive management including but not limited to mailing, scanning, faxing, and copying.

  • Responsible for filing and data entry for multiple departments.

  • Assists in preparation, collection and disbursement of materials and documents related to meetings of all affiliated Boards of Directors, as well as meetings of affiliated executive management teams.

  • Assists with special projects and research related to all organizations contracting with the Keystone Alliance.

  • Manages manager calendars, schedules, meetings and appointments.

  • Generates memos, informational emails and reports as needed.  

  • Maintains office supplies by checking inventory and coordinating supply orders.

  • Provides general support to office visitors.  

  • Completes other duties as assigned.

  • Directly Supervises – None 


Supervision Received:

  • Supervisor – Senior Division Director – Admin Services

Minimum Requirements:

  • Bachelor’s degree.

  • Minimum 3 years’ experience working in administrative support. 

  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel required.  

  • Strong written and verbal communication skills.

  • Lifting, bending, use of office equipment, telephone, computer.
